Create and Manage Ticketed Events at Your Venue

Hosting a ticketed event at your venue, like a Halloween party or a special gathering, allows guests to purchase individual tickets instead of reserving specific resources. This guide provides a step-by-step walkthrough for setting up a ticketed event, ensuring a seamless experience for both you and your guests.

Block Resources for Your Ticketed Event

When hosting a ticketed event, it’s important to ensure that resources are unavailable for individual reservations during the event.

  1. Access the Host App:

    • Open the Host App and navigate to the event date.
  2. Create a Block:

    • Click on the Create button in the top-right corner and toggle to the Block tab.
    • Name the block (e.g., "January 11th Event Block").
    • Select the hours during which the event will take place (e.g., 12:00 PM - 4:00 PM).
  3. Select Resources:

    • Choose all resources you want to block for the event.
  4. Save the Block:

    • Once saved, the resources will be unavailable for reservations during the specified timeframe. 

Create a Ticketed Event Package

After blocking resources, set up the ticketed event as a package.

  1. Navigate to Packages:

    • Log in to the admin dashboard and go to Venues > Packages.
  2. Create a New Package:

    • Click Add a Package or duplicate an existing package with similar settings.
    • Name the package (e.g., "January 11th Event").
  3. Set Pricing Options:

    • Choose Flat Rate pricing or define pricing by Groups (e.g., Adult and Kid, or Player and Spectator)
  4. Configure Guest Limits:

    • Specify the minimum and maximum number of guests per reservation (e.g., 1-10 guests).
    • Ensure each ticket corresponds to one guest.

  5. Set Deposit and Booking Rules:

    • Require a deposit if needed (e.g., 100% deposit).
    • Allow bookings up to six weeks in advance.

Define the Event Schedule

  1. Create a Schedule:

    • In the package settings, go to the Schedule section and click Add a Schedule.
    • Name the schedule (e.g., "January 11th Event Schedule").
  2. Set Date and Time:

    • Enter the event date (e.g., January 11th).
    • Toggle on the day of the week (e.g., Saturday).
    • Define event hours (e.g., 12:00 PM - 2:00 PM).
  3. Set Capacity and Pricing:

    • Set the maximum number of tickets available (e.g., 150 tickets).
    • Assign ticket prices for the event.
  4. Save the Schedule:

    • Click Save Changes to finalize the schedule.

Verify Event Setup

  1. Check Ticket Availability:

    • Confirm the ticket count reflects your maximum capacity.
    • Ensure tickets are linked to the package schedule.
  2. Test Booking:

    • Visit your reservation page to verify that tickets can be purchased and resources are blocked during the event time.
