Switch users on the Host App with a PIN
When your front desk shares a single Rex login, every booking, block, and change looks like the same person made it. Giving each staff member a four-digit PIN fixes that, without anyone signing in and out through a busy shift. The device stays signed in all day. A staff member taps Switch User, enters their PIN, and Rex runs as them from that point on, with their own role and permissions.
Give each user a PIN
Open the user you want to give a PIN
Find the person in the Users list, click the three-dot menu on the right of their row, and choose to edit them. You can also set a PIN while creating a new user.
Enter four digits in Host App PIN
The field takes digits only and stops at four. Each PIN has to be unique within your account, so no two people can share one. Leave the field blank when you create a new user and Rex picks a free PIN for you.
Save the user
The PIN works immediately. The Users list shows a PIN column so you can see at a glance who has one.
What you see in the Host App PIN field depends on who you are and whether a PIN is set:
| Field | Description |
|---|---|
| Generated on save | You are creating a new user. Leave the field alone and Rex assigns a free PIN when you save. |
| No PIN set | This user has no PIN yet, so they cannot switch in on the Host App. |
| Hidden | A PIN may or may not be set β you do not have permission to see it. Only Global Admins can read PIN values. |
Only Global Admins can see existing PINs. Everyone else can set a new PIN but never read the current one, so a PIN cannot be looked up by a colleague.
Switch users on the Host App
Tap Switch User in the navigation
The Switch User tile sits in the Host App navigation menu. It opens a keypad.
Type the four-digit PIN
The keypad submits on the fourth digit, so there is no confirm button to press. Rex reloads as that person with their own role and permissions. A wrong PIN clears the keypad so it can be retyped.
Check who is acting
A badge appears next to the menu with the acting user's initials and name. Tapping the badge reopens the keypad, so one person can hand straight over to the next without going back to the menu.
Tap End shift when they are done
End shift returns the app to the account the device is signed in to. The device itself never signs out, so the next person only needs their four digits.
An acting session lasts 12 hours. When it lapses, Rex returns to the device account rather than signing the device out, so the front desk is never locked out mid-shift.
Remove someone's access
When a staff member leaves, open their user, clear the Host App PIN field, and save. That removes their PIN and frees it up for someone else. Clearing the PIN does not delete the user, so their history stays intact β remove the account itself if they should lose dashboard access too.
After too many incorrect PIN entries, that device is blocked from switching for 30 minutes. The message reads "Too many incorrect PIN attempts. Try again in 30 minutes." Waiting it out is the only fix β changing the PIN in the dashboard does not clear the block.
