Host App overview
The Host App is the tool your front-of-house staff use day-to-day at the venue. From the Host App, your team can see today's reservations at a glance, check guests in, create walk-in reservations, modify and cancel bookings, take payments, and block off resources. This article gives you a tour of the four main pages and the most common actions — for deeper how-tos on specific tasks, see the Host App category.
Access the Host App
The Host App lives at host.reservewithrex.com. Each staff member logs in with their own credentials (the same user accounts you create in Settings → Users). For a shared kiosk or terminal, you can use a single shared login — that's a venue policy call.
Calendar
The Calendar is the home screen and where your hosts will spend most of their time. It shows every resource at your venue along the left, today's hours along the top, and every reservation plotted as a block in the grid. Hosts get a bird's-eye view of who's booked where, when.
Each resource on the left has a status toggle. Click a resource to control whether it's bookable, and by whom:

| On but unavailable | Hidden from the public reservation page, but hosts can still book it from the Host App. Useful for holding inventory back for walk-ins or VIPs. |
| Off / Out of order | Completely removed from inventory. Nobody can book it. Use when a resource is broken or otherwise unavailable. |
The Calendar also has zoom and time-range controls so you can collapse the grid to the hours your venue is actually open.
Create reservations and blocks
The Create button at the top of the Calendar opens a menu with two options: Reservation and Block.
Walk-in reservations
Pick a package, set the guest count and duration, choose a time, optionally add add-ons. Enter the guest's name, email, and any tags or notes you want recorded. Then pick a payment option: card reader (sends the charge to a Stripe Terminal), manual card entry, mark as paid (if collecting elsewhere), send a Square invoice, or skip payment. The reservation lands on the Calendar immediately.
Blocks
Blocks reserve time on specific resources without taking a booking — useful for leagues, maintenance, private events, or staff training. Set a date range, name, start and end time, optional notes, and which resources the block applies to. Blocks render as grey strips on the Calendar and prevent any new reservations from landing on those resources during the block.
Working with a reservation
Clicking any reservation block on the Calendar opens a card with its key details — resource, time, party size, payment status. From the card you can do quick actions, or click See details to open the full Check-in page for that reservation.
The Check-in page is a deep-dive on a single reservation. The left side groups today's reservations by status (Upcoming, Checked-in, Completed, No-show, Cancelled) so hosts can move guests through the flow as the day progresses. The right side shows everything about the selected reservation: guest details, add-ons, payment status, timeline, integration sync status.
From the Check-in page, your team can:

| Check in a guest | When a party arrives, click Check-in to move their reservation from Upcoming to Checked-in. The system marks them as on-site. |
| Modify the reservation | Change date, time, party size, or duration in place. |
| Cancel the reservation | Cancels and moves it to the Cancelled status group. |
| Reassign resources | Move the booking to a different lane, bay, or table. |
| Resend the confirmation email | If the guest didn't receive their original confirmation. |
| Resend the payment link | For unpaid reservations — sends the guest a link to pay. |
| Charge or refund | Manually collect payment, or refund a paid reservation. The action buttons appear based on the reservation's payment state. |
Guests page
The Guests page lists every customer who has ever booked. Click a guest to see their full profile — total visits, lifetime reservations, anything coming up. Useful for looking someone up before they arrive or for spotting your regulars. You can filter and export the full list.
Reservations page
The Reservations page is a filterable list view of every reservation across all dates — past, present, future. Use the Today tab for just today's, or apply filters by date range, package, payment status, etc. You can export the filtered list, which is useful for daily reports or end-of-shift handoffs.
What the icons on a reservation mean
Each reservation block on the Calendar carries small icons that tell your hosts where the booking came from and what's special about it — at a glance, without opening the reservation. Here's what each one means.
Where the booking came from

| Bell | A host created this reservation in the Host App — a walk-in or a booking your team entered by hand. |
| Screen / monitor | A guest booked this themselves online, through your reservation page. |
| Tripleseat logo | The reservation came in through your Tripleseat integration. |
| ClassPass logo | The reservation was booked through ClassPass. |
What's on the reservation

| Crown | The guest is a member. |
| Card | There's a card on file for this guest. |
| Hourglass | The reservation is still pending confirmation. |
| Sync warning | The reservation didn't sync cleanly with a connected integration and needs attention. |
| Paused bell | Reminder notifications for this reservation are snoozed. |
A red bar down the left edge of a reservation block means the booking is unpaid.
The check-in badge
Each block also shows a small coloured badge with the party size and a status icon, so hosts can track guests through the day at a glance. Its colour and icon reflect the reservation's check-in status:
