Resources explained — how Rex tracks physical assets and prevents overbooking

Resources represent the physical assets at your venue that have limited availability -- bowling lanes, laser tag vests, ping pong tables, party rooms, or anything else you want to track. Setting up resources lets Rex automatically prevent overbooking and gives you full visibility into what is being used and when.

Why set up resources?

Without resources, Rex can limit the total number of reservations at a given time, but it cannot track which specific lane or bay a guest is assigned to. With resources enabled, you get full control: overbooking becomes impossible, you can see exactly which resource each guest is using, and you can reassign resources on the fly through the Host App.

How to set up resources

Navigate to the Resources page and create a category

Go to your venue's Resources section. Click Actions, then Create Resource Category. Name the category after the type of resource, such as "Bowling Lanes."

Add individual resources to the category

Inside the resource category, click Add Resource for each item. Enter the resource name (e.g., "Bowling Lane 1"), an abbreviation for the Host App display, and a priority number to control its position in the list.

Managing resources

The Host App is your primary tool for managing resources day to day. It provides a calendar view showing which resources are in use, lets you create or modify reservations, and supports calendar blocks that prevent specific resources from being booked at certain times -- perfect for recurring events like bowling leagues.
